Class Management

This guide covers the day-to-day management of your ClassMana classroom beyond the stage-specific features.

Class Settings & Configuration

Access all class settings from your class dashboard:

  1. Click the gear icon or "Settings"
  2. Choose the category you want to configure

General Settings

Class Information:

  • Class name (editable)
  • Class period or section
  • Grade level
  • Subject area
  • School year

Display Options:

  • Sort students by: Name, level, Experience, health, gold
  • Show/hide specific stats on dashboard
  • Avatar display size
  • Color theme

Notifications:

  • Email notifications for activity
  • Daily summary emails
  • Low mana/health alerts
  • Request notifications

Feature Toggles

Enable or disable specific features:

  • Student logins (Stage 2)
  • Health & strikes (Stage 3)
  • Gold & shop (Stage 5)
  • Public leaderboards
  • Student-to-student interactions

Privacy Settings

Control what students can see:

  • Public: All students see each other's stats
  • Partial: Students see limited info about classmates
  • Private: Students only see their own stats

Configure privacy for:

  • Health points
  • Gold amount
  • Experience and levels (usually public)
  • Strike history
  • Purchase history

Co-Teachers

Invite other teachers to help manage your class:

Adding a Co-Teacher

  1. Go to Class Settings → Co-Teachers
  2. Click "Invite Co-Teacher"
  3. Enter their email address
  4. Select their permission level:
    • Full Access: Can do everything you can
    • Standard: Can give Experience, strikes, approve requests
    • View Only: Can see class but not make changes
  5. Send invitation

The co-teacher will receive an email and can accept the invitation.

Permission Levels Explained

Full Access:

  • Manage all students
  • Configure class settings
  • Add/remove co-teachers
  • Delete class
  • Access all features

Standard:

  • Give Experience, mana, gold, strikes
  • Approve/deny requests
  • View activity log
  • Cannot change settings
  • Cannot manage other teachers

View Only:

  • See class dashboard
  • View student profiles
  • View activity log
  • Cannot make any changes
  • Good for student teachers or observers

Managing Co-Teachers

  • View all co-teachers and their permission levels
  • Edit permissions at any time
  • Remove co-teachers
  • See co-teacher activity in logs

Use Cases

Team Teaching:

  • Both teachers have full access
  • Share management responsibilities
  • Consistent across periods

Special Education:

  • Para-educator has standard access
  • Can reward and manage behavior
  • Cannot change core settings

Student Teacher:

  • View only access initially
  • Upgrade to standard as they learn
  • Remove when placement ends

Administration:

  • View only access for principal
  • Can observe without interfering
  • Accountability and transparency

Student Management

Manage your student roster:

Adding Students

Single Student:

  1. Click "Add Student"
  2. Enter student name
  3. Optionally set starting stats
  4. Click "Add"

Bulk Add:

  1. Click "Bulk Add"
  2. Paste list of names (one per line)
  3. Or upload CSV file
  4. Review and confirm

Editing Students

Click on any student to edit:

Basic Info:

  • Name
  • Nickname/display name
  • Profile picture

Stats:

  • Current Experience
  • Level
  • Mana
  • Health (if enabled)
  • Gold (if enabled)

Manual Adjustments:

  • Add/subtract any stat
  • Include a note explaining why
  • Logged in activity

Use cases for manual adjustments:

  • Correct a mistake
  • Reward for outside-class achievement
  • Makeup for technical issue
  • Special circumstances

Removing Students

When a student leaves your class:

  1. Click on the student
  2. Select "Remove from Class"
  3. Choose what to do:
    • Archive: Keep data, remove from active roster
    • Delete: Permanently remove all data

Archive is recommended - you can restore them later if needed.

Transferring Students

Move students between your classes:

  1. Select student
  2. Click "Transfer"
  3. Choose destination class
  4. Select what to transfer:
    • Keep current stats
    • Reset to class defaults
    • Custom starting stats
  5. Confirm

Organizing Students

Groups/Teams:

  • Create teams (useful for Stage 4)
  • Assign students to groups
  • Color-code by team

Sorting:

  • Alphabetical
  • By level (highest first)
  • By Experience progress to next level
  • By health (lowest first)
  • By gold (richest first)
  • Custom order

Filtering:

  • Show only fallen students
  • Show students with pending requests
  • Show students below certain health
  • Show students above certain level

Activity Log

The activity log tracks everything that happens:

What's Logged

Student Actions:

  • Experience gained/lost
  • Level ups
  • Mana gained/used
  • Powers activated
  • Strikes received
  • Health changes
  • Gold earned/spent
  • Shop purchases
  • Avatar changes

Teacher Actions:

  • All rewards and consequences given
  • Manual stat adjustments
  • Setting changes
  • Student additions/removals
  • Request approvals/denials

System Actions:

  • Weekly mana/health distribution
  • Automatic events
  • Login events

Using the Activity Log

Filter by:

  • Date range
  • Student
  • Action type
  • Teacher (in co-taught classes)

Search:

  • Find specific events
  • Search by student name
  • Search by keyword

Export:

  • Download as CSV
  • Generate reports
  • Share with administration
  • Document for IEPs or meetings

Use Cases

Review student progress:

  • See all Experience earned over time
  • Track strike patterns
  • Monitor engagement

Accountability:

  • Show parents student activity
  • Document behavior interventions
  • Prove fairness and consistency

Analysis:

  • Identify trends
  • See what rewards work best
  • Find times of day with most issues
  • Evaluate effectiveness

Dispute resolution:

  • "I didn't get Experience!" - Check the log
  • "You gave them more!" - Compare logs
  • Verify co-teacher actions

Deleting/Archiving Classes

At the end of the school year:

Archiving (Recommended)

  1. Go to Class Settings → General
  2. Click "Archive Class"
  3. Confirm

What happens:

  • Class is removed from active list
  • All data is preserved
  • Read-only access maintained
  • Can restore later if needed
  • Can export data anytime

Benefits:

  • Keep records for future reference
  • Compare year-to-year
  • Show students their progress later
  • No loss of data

Deleting

  1. Go to Class Settings → General
  2. Click "Delete Class"
  3. Type class name to confirm
  4. Confirm deletion

Warning: This is permanent and cannot be undone!

What happens:

  • All class data deleted
  • All student data removed
  • Cannot be recovered
  • Login codes invalidated

When to delete:

  • You're certain you'll never need the data
  • Privacy requirements mandate deletion
  • Starting completely fresh

Exporting Data Before Deletion

If you plan to delete:

  1. Go to Class Settings → Export
  2. Select what to export:
    • Student roster
    • All activity log
    • Final stats
    • Complete history
  3. Choose format (CSV, PDF, JSON)
  4. Download

Keep this file for your records.

Best Practices

Regular Maintenance:

  • Review activity log weekly
  • Check for unusual patterns
  • Update settings as needed
  • Archive old classes yearly

Documentation:

  • Keep notes on significant events
  • Document special circumstances
  • Export reports for meetings
  • Maintain parent communication

Consistency:

  • Apply rules fairly to all students
  • Use same criteria for rewards
  • Document decision-making
  • Be transparent about changes

Backup:

  • Export data periodically
  • Keep copies of important reports
  • Document custom settings
  • Save shop item configurations
